Overview
Meaningful Milestones, Applied Behavior Analysis, LLC is seeking a detail-oriented and proactive Administrative and Billing Coordinator to join our team. Our agency is providing ABA services to children with Autism Spectrum Disorder. The ideal candidate will play a crucial role in managing billing processes, ensuring accuracy in invoicing, and providing exceptional customer support. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with clients and internal teams.
Compensation
- $22 - $25 per hour
Working Hours
- 20 - 25 hours per week / Possible Full-Time Position Opportunity

Job Responsibilities
Your primary responsibilities will include:
Job Overview: The Administrative Assistant in an ABA setting provides crucial support to behavior analysts, therapists, and other staff by handling various administrative tasks. This role ensures that operations run smoothly and efficiently, allowing clinical staff to focus on providing quality care to clients.
- Scheduling and Coordination:
- Schedule client appointments and therapy sessions, ensuring efficient use of staff time and resources.
- Coordinate with clients, caregivers, and staff to manage cancellations and reschedule appointments as needed.
- Maintain an organized and up-to-date calendar for all therapists and behavior analysts.
- Client and Staff Communication:
- Serve as the primary point of contact for clients and caregivers regarding scheduling, billing, and general inquiries.
- Communicate effectively with staff to relay important information and updates about client's appointments and schedules.
- Documentation and Record-Keeping:
- Manage and organize client files, ensuring all necessary documentation is complete and up-to-date.
- Assist in the preparation and submission of insurance claims and authorizations.
- Maintain confidentiality and security of client records in accordance with HIPAA regulations.
- Billing and Financial Management:
- Process billing for services rendered, including invoicing clients and tracking payments (via Availity).
- Assist with insurance billing and follow up on unpaid claims or discrepancies.
- Prepare a profit and loss report that reflects reimbursements for services and employee compensation.
- Compliance and Quality Assurance:
- Ensure compliance with all relevant regulations and standards, including HIPAA and company policies.
- Assist in audits and quality assurance activities to maintain high standards of care and service delivery.
- Training and Development:
- Participate in training sessions and meetings to stay informed about clinic policies, procedures, and best practices.
- Assist in the onboarding and training of new administrative staff as needed.
- Special Projects and Additional Duties:
- Support special projects and initiatives as assigned by management.
- Perform other administrative duties as required to support the smooth operation of the company.
Experience
- Previous experience in a billing or accounting role is preferred.
- Experience as a dental receptionist or medical receptionist is a plus.
- Bilingual candidates are encouraged to apply, as this will enhance communication with diverse clients.
- Familiarity with office management practices and customer support is essential.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
