Responsibilities:

Office & Property Management:

  • Maintain a clean and organized office environment by reporting any urgent needs to Janitorial
  • vendors.
  • Manage office supplies, including shopping for supplies and placing orders when necessary.
  • Coordinate maintenance for the office building and landscaping with Building Maintenance
  • vendors.
  • Organize company asset files and input data into Excel.
  • Coordinate maintenance schedules for company-owned properties, including landscaping and
  • other maintenance vendors; keeping clear communication with property managers as needed.

Communication:

  • Answer and screen phone calls, emails, and correspondence.
  • Create and manage company email accounts and email signatures.
  • Draft and proofread documents, reports, and correspondence.

Data Entry and Record-Keeping:

  • Maintain accurate records, databases, and filing systems.
  • Update and organize company documents and files.
  • Assist in the preparation of reports and presentations.

Errands and Logistics:

  • Schedule appointments for and take company cars for maintenance.
  • Travel to UPS and FedEx to drop off packages.
  • Order and distribute business cards.

Visitor and Guest Management:

  • Greeting and assist visitors, clients, and vendors.
  • Ensure a positive and professional image of the organization.
  • Manage visitor sign-in and security protocols.

Event Coordination:

  • Assist in planning and coordinating company events and meetings.
  • Arrange catering, setup, and logistics for events.

Other Administrative Tasks:

  • Perform general clerical duties, such as photocopying, scanning, and faxing.
  • Handle sensitive and confidential information with discretion.
  • Collaborate with other team members to complete tasks and projects.

Education and Experience:

  • High school diploma or equivalent (Bachelor's degree preferred).
  • Bilingual in Korean and English
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in office software (e.g., Microsoft Office Suite).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Professional and friendly demeanor.
  • Knowledge of office equipment and basic troubleshooting.
  • Discretion and the ability to handle confidential information.
